Position Overview
The Benefits Specialist serves as a key role withing Vested HR, responsible for benefits administration, benefit deduction accuracy, carrier billing reconciliation, and compliance. This position plays a critical role in ensuring benefit enrollments, payroll deductions, carrier invoices, and HRIS records are accurate and aligned across systems. This individual will work with clients, internal teams (Payroll, Finance, HR), insurance carriers, brokers, and external vendors to research and resolve discrepancies and support seamless day-to-day benefits operations.
The ideal candidate has hands-on employee benefits experience with strong reconciliation and analytical skills. This individual is highly detail-oriented, organized, and comfortable researching discrepancies across multiple systems and reports. Success in this role requires the ability to identify the source of benefit and billing variances, follow issues through resolution, and work effectively in a fast-paced environment where accuracy and deadlines are critical.
This position works closely with Payroll, Finance, Human Resources, Client Services, insurance carriers, brokers, and benefit vendors to maintain accurate benefit records and provide seamless client experience.
Key Responsibilities
- Review and reconcile benefit deductions in payroll against benefit enrollments and carrier records to identify and resolve discrepancies.
- Perform monthly benefit billing reconciliations and carrier invoice reviews, working with Finance, carriers, brokers, and vendors to research and resolve discrepancies.
- Research enrollment, termination, effective date, coverage level, and premium discrepancies to determine the source of variances and ensure corrections are completed across applicable systems.
- Validate benefit deductions for new enrollments, qualifying life events, plan changes, terminations, and retroactive adjustments to ensure payroll and carrier billing accuracy.
- Track reconciliation discrepancies and outstanding corrections through resolution, including documenting findings and communicating necessary adjustments to Benefits, Payroll, Finance, carriers, and vendors.
- Complete ACA reporting and compliance tracking; communicate results to clients as needed.
- Monitor and process terminations and COBRA notices.
- Serve as a primary point of contact for benefit inquiries and resolve questions and discrepancies in a timely manner.
- Develop expertise in the company's HRIS platforms, benefit administration systems, carrier portals, reporting, and reconciliation processes.
- Assist with internal and external audits and provide supporting benefit, payroll deduction, enrollment, and billing documentation.
- Develop financial and operational reports when requested by compiling and comparing benefit enrollment, deduction, census, and billing data.
- Communicate benefits issues, concerns, and process improvements to the Benefits Director.
- Maintain and safeguard employee records, process benefits enrollments, and complete compliance documentation.
- Contribute to team effort by accomplishing related results and other duties as needed.
Required Qualifications
- Minimum of 2 years of employee benefits administration experience, including benefit billing and/or payroll deduction reconciliation.
- Experience administering medical, dental, vision, life, disability, FSA, HSA, and ancillary benefit plans.
- Demonstrated experience reconciling benefit enrollments, payroll deductions, and/or carrier invoices and researching discrepancies.
- Ability to analyze data across multiple reports and systems, identify variances, determine root causes, and follow corrections through resolution.
- Ability to work cross-functionally with Benefits, Finance, Payroll, insurance carriers, brokers, and benefit vendors.
- Working knowledge of ACA, COBRA, HIPAA, Section 125, and employee benefit compliance requirements.
- Strong Excel skills, including sorting, filtering, formulas, and comparing large data sets required; experience with XLOOKUP/VLOOKUP and PivotTables a plus.
- Excellent written and verbal communication skills.
- Familiarity with HRIS and benefits administration systems.
- Exceptional attention to detail and commitment to data accuracy.
- Ability to organize, prioritize, and manage recurring reconciliation cycles and multiple deadlines in a fast-paced environment.
- Demonstrated ability to independently research issues, maintain accurate documentation, and communicate unresolved discrepancies or delays.
- Ability to work effectively in a collaborative team environment.
- Demonstrated ability to maintain confidentiality and handle sensitive information.
- Physically able to work seated in front of a computer for long hours at a time.
Preferred Qualifications
- Previous Professional Employer Organization (PEO) experience.
- Experience with ProSoftware, PrismHR, UKG, ADP, Paylocity, Paychex, or similar payroll/HRIS platforms.
- Experience with benefit carrier billing reconciliation, payroll deduction reconciliation, and enrollment audits.
- Experience working with insurance carriers, brokers, TPAs, and benefit vendors.
- Advanced Excel experience working with benefit, payroll, billing, or eligibility data.
